Sign-ups and Who's coming

Places, a waitlist that keeps its order, and the list of who's coming, with export and Message everyone.

Choose Free sign-up on an event, or Tickets (see Tickets), and people sign up on your church site: a whole household at once, adults and children, with no account. The event's Who's coming tab lists them.

Places and the waitlist

  • Places: how many people can come, or tick No limit. On a published event with people waiting, No limit asks first, since everyone waiting gets a place and an email.
  • At most, in one sign-up: how many one household can sign up at once (20 when it's empty).
  • Waitlist when it's full: on, people can still join a waitlist once it fills.

The waitlist keeps its order. When places open (someone cancels, or you add places), the first household waiting gets an email and 48 hours to take them, or until the event starts if that's sooner. A family of four waits until there are four places, and nobody behind them jumps ahead; you can let a smaller one in yourself. If a held place isn't taken in time, it goes to the next in line; the family that missed it stays on the list for you, marked "A held place passed on", and isn't offered it again. Someone new never takes a place ahead of the line. When only some of a household fits, the site asks who comes now: "2 places left. Who comes now? (pick 2) The others wait in line." When places are free but a bigger family is already waiting, the site says "Waitlist open · places go in order", and Who's coming tells you the places are stuck so you can let someone in or add places.

On an event with tickets, a family on the waitlist pays nothing until a place is theirs: a held place is confirmed by paying for it (or its deposit) within the 48 hours. Taking the limit away there lets in everyone with nothing to pay, and offers the rest a place to pay for, by email.

Who's coming

Each sign-up shows who signed up and how to reach them, the people coming (children marked), where it stands, when, and whether it came from the site, the app or the door. The count pills along the top filter the list, and Find a name searches it. A held place shows its deadline, like "has until Fri 9 PM". Details under a sign-up opens each person's ticket and answers, and, on an event with tickets, its payments; a ticketed event shows each sign-up's money too (see Ticket money).

A row's ⋯ has Resend the email, Edit the people, Let them in (for someone waiting; past the places, it asks first) and Cancel the sign-up, and on a ticketed event the money: cash, a check, a waiver or a refund. Cancelling passes the places to the next in line, who's emailed; the person you cancelled gets an email saying so, in their own language. It never refunds a payment by itself.

  • Add someone: someone who rang the office. They go in, or on the waitlist; Add anyway lets them in past the places. On a ticketed event, give each person a ticket; what it comes to, they owe until you record it paid.
  • Export CSV: one row per person, with each person's ticket, a column for each question, when they agreed, and the sign-up's money on its first row (with its discount code and the day a deposit's rest is due). Each download goes in the activity log.
  • Message everyone: an email to the groups you choose, one per household, signed with your name, each with its own link to change or cancel. Replies go to the event's contact email when it has one.

The emails people get

In the language they signed up in: the confirmation, with a button to change or cancel (and "Not you? Cancel this sign-up"); a place held for them when one opens; a reminder the day before; word when the event or one of its dates is cancelled or moved; and your messages. On an event with tickets, the confirmation and the reminder carry the code for the door ("EV-" and six letters), a payment brings a receipt, a deposit two reminders before the rest is due, and a refund its own email; when you cancel a paid sign-up, its email says what they paid and that you'll be in touch about a refund. The link needs no account: they can add or take off people, answer the questions, confirm a held place, pay what's owed, or cancel. The addresses under Settings › Events get a copy of each new sign-up, with what was paid.

Who sees it, and how long it's kept

Who's coming holds children's names, families' contacts, their answers and what they paid, so it's only for Events managers and the event's organizer, with two-step sign-in done. Someone who signs up on your site without signing in is added to People as a guest; if they were there already, Possible duplicates shows the pair. A cancelled sign-up keeps its names 30 days, then its names and contacts are removed; its count stays.
