Put every team on the schedule
Greeters, ushers and kids volunteers on the same Sunday as the band, a spot per service time, a leader for each team.
The scheduling your worship team uses works for any team: greeters, ushers, parking, kids volunteers, prayer, tech. A team is switched on with one tick, its positions join the Sunday template, and everything else (requests, reminders, time away, Fill open spots, the respond page) works for them as it does for the band.
A church with only a worship team sees nothing new. The day you switch a second team on, the schedule groups its columns by team, the Team tab groups its rows, and "Musician" reads "Team member" wherever a role is shown.
Switch a team on
- Open , then , and choose the team (or : a name and a color).
- Turn on .
- Under , add what the team does: Greeter, Usher, Info desk. Each position says what people are asked to do: "serve as Greeter".
- Under , put the team's people on it and tick the ones who lead it. See Lead your team for what a leader can do.
- Open , then , and set how many of each position the Sunday needs.
Owners and admins switch teams on. A team's leaders then run it.
A spot per service time
A greeter serves one service; a drummer plays both. In , then , each position can need people for the whole service (as the band does) or for one of the type's times: "2 at 9:00 · 2 at 11:00". Each new service copies that, and a copy of a service keeps each spot on its time.
Requests say the time: "Can you serve as Greeter at 9:00 on Sunday, October 18?". Home, the reminder, the calendar feed and the respond page name that time alone. Someone can hold the 9:00 and the 11:00 on the same morning when you want that.
A time with people on it can't be removed from a service. The app says who is on it; move them first.
A serving day
A Saturday work day or the Tuesday food pantry is a service with no set list. In , then , turn on on the type. Its services open on the Team tab and have no Plan, Playlist or Stage view. Times, requests, reminders and time away all work as on a Sunday; the services list shows them with a chip.
On the schedule
- Chips above the grid pick a team or show all of them, each with its count ("Greeters 17 of 24").
- Columns sit under a thin rule in the team's color. A team you don't schedule is marked .
- An empty spot reads "1 open"; choose it to assign. Each column says its time when the spot is for one.
- fills the team you've chosen, or every team.
On the Team tab
Each team is a group with its count, the team's color at the edge, and its own . A spot for one time reads "Greeter · at 9:00". The group line names who hasn't been asked yet.
