Teams, and who can see what

Worship is your first team; add more. Give someone People or Present access without making them an admin.

Your church's roles (owner, admin, leader, musician) say what each person can do across PraisePad. Access by area adds to that: give one person a level in People or Present, for everyone in the church or for just one team or list. Levels add up with the role; nothing takes access away except Take away.

Teams

Under Settings, then Teams, Worship is your first team. It holds today's positions and everyone on your team, and it's what the schedule fills. Add other teams with Add a team: Kids, Hospitality, Tech. For now a team is its people and its leaders; Serve will schedule every team the way Worship is scheduled today, and bring positions to them.

  • Choose a team to see its people. Add puts someone already on your church's team on it, and Make leader makes them a leader.
  • A team leader adds and removes people on their own team. Roles and seats stay with owners and admins.
  • Rename or color changes a team's name and the color it shows in. Archive puts a team away; its people stay on the church's team.

Access by area

Under Settings, then Access, the people with access beyond their role are listed, with what their role already gives them shown beside it.

  1. Press Give access.
  2. Choose the person. Owners and admins aren't offered: they manage every area already.
  3. Choose the area and the level. Viewer sees, Editor also changes, Manager also sets the area up. Only levels that do something today are offered: People (all three) and Present (Editor runs the slides, Manager also changes Present's settings). Worship follows church roles until Serve.
  4. For People, choose Everyone in the church, A team or A list. The last line says the access in words, and a preview shows how many people they can see today, before you give more.
  5. Press Give access. The person gets a note in PraisePad and an email saying what they can do now.

An end date makes the access run out on its own, with a reminder a week before. Taking someone off the team takes their access with it.

Someone with access limited to a list or a team sees only those people on Everyone. They can change the records they can see; adding new people needs access for everyone.

Who can see a person's record

At the foot of a record on Everyone, owners and admins see who can see it: the owners and admins, each person whose access reaches it and why, and the adults in the household once they sign in. Teammates see only names and pictures of people on the team, and a child who isn't on the team isn't shown to them at all.
