Requirements to serve

Background checks, trainings, policies to sign and a minimum age, current before someone serves.

A requirement is something that must be current before someone serves: a background check every two years, a training, a policy to sign, a minimum age. Owners and admins set it up once in Settings, then Requirements, and apply it to teams or to single positions ("Background check" for the Greeters and the Kids team; the training for Kids teachers only).

Blocks or warns

A requirement that blocks stops anyone without it from being scheduled on those teams: the picker, Fill open spots, sign-up, cover and asking the next person all leave them out and say why in words ("Background check expired Aug 2"). One that warns shows the same words and lets you go ahead.

Nobody has a new requirement on file on the day you add it, so PraisePad offers Warn until, a date, then block. Your teams keep running while you record who already has one.

Owners and admins can still put someone on by hand: Put on anyway…, with a reason if you like. A red mark stays on their spot, on the Team tab and on their page until the requirement is renewed, and the activity log records who did it.

Someone already on a Sunday when their check lapses stays on, and their team's leaders are told that day.

Recording

On a person's page, the Requirements card lists what's met, what expires soon and what's missing. Record asks for the date it was met, a short note, and, if you like, the certificate as a PDF or a photo. On a requirement's own page, tick several people and record them together, with one date.

Church staff record anyone's; a team's leaders record their own team's, from the person's page or the Requirements card on the team's page. Only they can open an attached certificate, and the person can open their own. Opening someone else's needs two-step sign-in, and every look is logged.

Policies people sign

A policy's words live in the requirement. People read it and tap I agree from Home or You › Serving, or from an emailed link that works without an account. On the policy's page, the ask to sign sends that email to everyone still to sign; Record a paper copy is there for anyone who signed on paper.

Reminders

A month before something expires, the person gets an email with how to renew it and I've renewed it, which tells their leader. Each team's leaders get a list on the 1st of the month: what expires in the next 60 days and anyone on an upcoming Sunday who's missing something.

A minimum age uses the birthdate on the person's page. With no birthdate, PraisePad warns ("No birthdate in PraisePad: check their age") and doesn't block.
