Check families in at the welcome desk

For everyoneChecked Oct 13, 20262 minutes to read

Find the family, check the children in with one tap, hand over the labels, and add a visiting family in about a minute.

The welcome desk is a laptop (or an iPad) paired as the desk. Nobody signs in: the first time, it asks Who's at the desk?, and each check-in is saved with that name.

Check a family in

  1. Type part of a last name or a phone number. Families checked in this morning show underneath.
  2. Choose the family. Each child shows with their room already picked, from last week or by their age or grade. Tap a room to change it. An alert shows in red, and a first visit, a birthday this week or no photos posted are marked.
  3. Tap Check in (it names the children). The labels print: a name tag for each child, and the parent's receipt, bag tags and sheet labels on the small roll.
  4. Give the parent the receipt. It has the same code and picture as the child's tag, and their page number. The desk shows a family's code only right after checking them in; bag tags carry no code.

The desk asks Did they print?. Choose yes for the next family, or Reprint name tags: free for five minutes at the same desk. A mistake? Undo stays for ten seconds; after that a Kids leader can void it.

A child without a photo for pickup shows Take one. Photos are private: your Kids leaders see them, and your check-in desk and room iPads on the day of a check-in (see privacy).

A visiting family

Choose A visiting family and fill in the short form with the parent: their name and phone (email if they like), and each child's first name, birth month or grade, an alert, and No photos if photos of them shouldn't be posted. Switch the form to Español for a Spanish-speaking family; their receipt prints in Spanish too. If the phone is already here, the desk asks whether it's the same family ("Jordan Thompson visited in June. Same family?"). Read the consent line to the parent, tick it, and the family is checked in.

When printing stops

The desk says what's wrong and how to fix it (see the label printer). Continue without printing keeps the line moving: the code shows on screen to write on a sticker, and you can reprint when it's fixed. Labels from an iPad go to the printer laptop, and the desk shows when they've printed.
