For Kids leaders: okays, the live view, and adding an adult

For everyoneChecked Oct 13, 20262 minutes to read

Okay a pickup without the code from your phone, watch every room live, add an adult, and keep each child's Kids page.

Kids leaders are your church's owners and admins, and anyone an owner or admin gives Kids access as a manager under Settings › Access. Kids access needs two-step sign-in. Volunteers at the desk and in the rooms need no access at all.

The live view

Open Kids from the menu on your phone or laptop. Every room shows how many children and adults are in, and says plainly when it needs one more adult or is full. Below: adults scheduled who aren't here yet, pages nobody has answered, children still checked in after the service ended, and each station with whether it's ready.

Okay a pickup

When a room taps Someone else (no code, or someone not on the list), every Kids leader sees the request.

  1. Open it from the live view.
  2. It shows the child and the adults allowed to pick them up, with photos. A "do not release to" name shows in red at the top.
  3. Check a photo ID, tick I checked their ID, and choose who's taking the child, or type the name of someone not on the list. Or decline.

The room's iPad updates at once, your okay goes in the activity log with your name, and the other Kids leaders get an email.

Emails you'll get

  • Children still checked in after a service ended: a while after the end (your church's setting), and again two hours after. Every Kids leader gets these; they can't be turned off.
  • A pickup okayed without the code. Also always.
  • New families, on Monday morning: families whose child checked in for the first time last week. Turn this one off with the link at its foot.

Add an adult to a room

A parent stepping in, or a walk-in volunteer: open the room in the live view, choose the person, say why, and choose Add to the room.

A child's Kids page

Use Find a child at the top of the live view (two letters of a name). A child's Kids page has their check-in alert (it prints on the name tag), their photo for pickup, whether photos of them may be posted, one-to-one care, their room, who may pick them up, and anyone who may not. Kids leaders can change all of it without People access; Open in People shows only to people who can open the full record. Their private medical and custody notes stay apart, as before.

Photos for pickup are private: Kids leaders see them, and so do your check-in desk and room iPads on the day of a check-in. Pickup always needs the code from the parent's receipt, or your okay.
