Incident reports: write it up, review it, tell the family

For everyoneChecked Oct 15, 20262 minutes to read

The room's iPad writes up what happened; a Kids leader reviews it and can send the family a copy. Kept for good.

When something happens in a room, write it up while it's fresh. The report is private to your Kids leaders and owners, and it's kept for good, outside the retention that deletes check-ins.

On the room's iPad

Tap "Something happened" at the top of the room's list.

  1. Choose the child from the room's list, or no one child.
  2. Say what happened in plain words, any first aid given, who saw it, and your name.
  3. Take a photo if there is one (insurers ask).
  4. Write it up.

It works with no internet: the note waits on the iPad and goes once when the wifi is back. The photo can't wait; a Kids leader can add one later.

As a Kids leader

Reports, then Kids, then Incidents lists every report and its state. Write it up there writes one from your own screen; Tidy the wording fixes spelling and grammar and shows the result beside your words, Use this or Keep mine.

Open a report to read every word (each look is logged), add or replace the photo, and review it: a note and a state, open, reviewed or closed, then Save the review.

The family's copy

On the report, The parent's copy names the adults of the household that brought the child, ticked, with their emails; another household the child belongs to is listed unticked. A custody note on the child's record shows first, in red. Choose the language, write how you'd tell it or Draft the parent's copy and keep it or not, read the preview, then Send the copy. The report keeps "Sent … to …", and sending again asks first. What goes: your words, when and where, first aid and who wrote it; never a code, an alert or a pickup block.
