Import your team from a spreadsheet

Add people from a CSV file or pasted rows. You see what each row will do before anyone is added.

You can add your whole team at once from a spreadsheet: an export from Planning Center, or a sheet from Excel or Google Sheets. Go to People, choose Import people from a CSV, and add the file. You see what each row will do before anyone is added, and nobody is emailed unless you choose to.

What the spreadsheet needs

  • A Name column, or First and Last columns.
  • If you have them: Email, Phone, Role, and Positions.
  • Roles are Admin, Leader, or Musician. Anything else becomes Musician.
  • Positions can be separated by commas or semicolons.
  • Up to 500 rows.

Download a template gives you a sheet with the right headings.

Add the people

  1. Drop the CSV on the box, or press Choose a CSV file. Or copy the cells (with the header row) and paste them under Or paste the rows.
  2. Press Read the spreadsheet if you pasted.
  3. Check the table. What happens says, for each row: Will be added, Already on the team, Was removed from the team, Needs a fix, or No room on the plan.
  4. Under Options, choose whether to email an invitation to the new people with an email address (up to 25 per import). You can also invite them later from their People pages.
  5. Press the add button at the bottom.

Running the same spreadsheet twice adds nobody twice. Someone who was removed before isn't added again: open them under People and put them back on the team.

From Planning Center: open People, filter to your team, choose Export, and pick CSV.

Roles and positions

  • A leader can add people as musicians only. Rows marked Admin or Leader come in as musicians, and an admin can change them after.
  • When an admin imports, rows marked Admin come in as leaders, and an owner can change them after.
  • Rows marked Owner start as musicians. Owners are made after they join.
  • Positions your church doesn't have yet can be added by an admin during the import. They go in the "Other" group, which you can change in Settings.
