Reports › Events: who came, the money, and the payments ledger

For everyoneChecked Oct 26, 20263 minutes to read

Each event's sign-ups and check-ins, its money and fees, cash and checks for the counter, and the ledger.

Reports, under Events, shows each event with a date in the days you choose: its sign-ups, who came on each date, and its money. It's for Events managers, with two-step sign-in, because it shows who paid. Ticket money is here, never in Giving's totals or year-end statements. An Events manager who doesn't see Reports in the menu gets here from the "Events report" link under the Events calendar, or the "Reports › Events" link beside "Money so far" on an event's Who's coming.

Choose the days

This year, Last year, Last 90 days or Next 90 days, or any days up to 400 with From and Through, then Show. A line at the top adds up the range: the events, the sign-ups and how many were checked in, then what came in by card, cash and checks, less fees and what was given back, what the church kept, what's still owed or was waived, what's to come from deposits still open, and what discount codes took off.

Each event

  • Its dates, its sign-ups, and how many are going, waiting and cancelled, with the walk-ups added at the door.
  • Who came: how many were checked in on each date.
  • Money, on an event with tickets: card, cash and checks, the card fees buyers covered, PraisePad's fee and Stripe's, refunds, anything waived, the discounts given (and how many codes were used), what's still owed, the deposits still open with the day the rest is due, and what was kept. "Still owed" counts only what's due now: a deposit's rest is under Deposits open until its day (for someone added who hasn't paid yet, the deposit is owed now and the rest is under Deposits open). Under them, how many sign-ups are "paid or waived" (one a 100% code made free counts there) and how many still owe. Stripe's fee fills in as each payout lands.

The event's name opens its Who's coming.

Cash and checks, for the counter

Every cash and check payment in those days, event by event: when, who paid, how (with a check's number), the amount, and who took it, with the station's name for money taken at the door. Count the envelope against it. On a phone it's a list, one payment to a line.

The payments ledger

Download the payments ledger (CSV) saves every ticket payment in those days as a spreadsheet for your treasurer: the date, the event, the name, how it was paid, the amount, the card fee covered, PraisePad's and Stripe's fees, what was refunded, a check's number, who took it or waived it, the station, a dispute, and the payout it reached the bank in, with the day that payout arrived. Each download goes in the activity log.

Payouts

Ticket money reaches your bank in the same Stripe payouts as gifts. Giving › Payouts says so on the deposit ("includes $350 of event tickets") and gives the tickets a line of their own, with their fees, so the deposit adds up; who bought them stays with Events. Giving's Deposit file lists the gifts by fund, and the ledger names the same payout beside each ticket payment, so your treasurer can match both to the bank. See Payouts.
