Private notes on a person
Medical, allergy and custody notes behind a tap, opened only with two-step sign-in on; every look is logged.
A person's record has a Private notes card for the things that need the most care: allergies, medical notes, custody arrangements, and one other private note. They're closed until you open them, they're never in lists, exports, or anything AI reads, and every look is written in the activity log with your name.
Opening and changing them
- Open the person's record on Everyone.
- In Private notes, press . The line goes in the log first, then the notes show, with who last changed them.
- Change what you need and press . The log says which fields changed, never the words.
Who can open them
Owners, admins, and anyone with People access at Manager level, and only with two-step sign-in on. Without it, the card offers to set it up instead. Someone with limited People access, or at Viewer or Editor level, never sees the notes.
Deleting a person
Owners and admins can delete a person from the foot of their record. They leave Everyone, every list, and every count at once, but for 30 days an owner or admin can press from the record (the activity log's line still opens it). After 30 days the record is emptied: contacts, notes, fields, tags, household links, and private notes go, and the name stays on past services and in the log.
