New families: the Kids poster, the form and the welcome email
A poster with a code to a short form; the desk opens it filled in. Then a welcome email on their first day.
A new family can register on their phone instead of at the desk: a poster by the doors has a square code to a short form on your church's site, and the desk opens their form already filled in.
The poster
Under Settings › Kids › Families, choose . It says "New here? Register your family" in English and Spanish. Print it and put it by the doors. When Kids is on, your church's page shows "New to Kids?" with a link to the same form.
The form
The parent fills in their name, a mobile phone or an email, and each child's first name, birthday or grade, and allergies (they print on the name tag, so 40 letters at most), and ticks the consent. It's in English or Spanish, by the phone's language. If they're interrupted, the form keeps what they typed. When they send it, the form says "Sent." and asks them to tell the desk their name when they arrive. The same family sending it twice makes one form, not two.
At the desk
shows how many forms are waiting. Choose it to see them, then one: the desk's new-family form fills in from theirs. Check each field with the family, then save and print as usual. If the phone is already here, the desk asks whether it's the same family: opens theirs instead, and the form is done. a form sent by mistake.
Forms are deleted 90 days after they're sent or handled.
The welcome email
Turn on under Settings › Kids › Families. At 5:00 pm on the day of a family's first check-in, it goes to their email in their language, with their family pass inside when the pass is on.
Write it in English and Spanish. The buttons beside it add the children's names or the pass link where you click. The preview shows it as a family sees it, and sends it to you. writes a first try in both languages from a sentence about your church; nothing about any family goes with it, and it uses a little of your church's AI allowance.
